Room Use Policy for IEEE Room at UCSC School of Engineering

Purpose

The IEEE Student Branch at University of California, Santa Cruz (UCSC) has space allocated in the School of Engineering (SoE). A key code for the IEEE room allows access to the IEEE desktop computers, snack bar, and common area. Use of the IEEE facilities is a privilege for IEEE members.

Eligibility

Members of the UCSC IEEE Student Branch are eligible for a key code to the IEEE room if they meet the following requirements.

To obtain a key code, the student must be both a UCSC student and current IEEE member in good standing with the IEEE Student Branch. Alternately, special permission for a keycode may be granted by unanimous vote by elected officers. Please introduce yourself to an officer before obtaining a key code.

Names of those who meet these requirements are submitted to the key codes department. A key code may be picked up during their open hours.

Policy

The IEEE room is to be used for studying, mentoring, and socializing. Priority of room use is given to studying. Priority of computer use is given to school-related activities. Below is a list of additional examples of permissible room use. It is not meant to be exhaustive.

  1. Do not leave personal belongings in the IEEE room for an extended period of time.
  2. Guests are permitted if accompanied by a member.
  3. The snack bar is on an honor system. Please pay as you eat (no I.O.U.s)
  4. Do not leave the door open and the room unattended as you exit.
  5. We have no janitorial services. Please clean up after yourself.
  6. Keep your key code secret! You alone are responsible for your key code.
  7. Providing access for guests implies responsibility for their actions.

Revocation

A member's IEEE room key code may be revoked for any of the following reasons. Due cause is decided by majority vote of elected IEEE officers. You may appeal a revoked key code to the officers once per academic quarter, not including summer session.

  1. Termination of eligibility
  2. Leaving the door open and the room unattended (second offense) -- The IEEE officers reserve the right to audit the key codes box at any point. The audit will expose the guilty party; his or her name will be published and the key code will be revoked.
  3. Theft or vandalism of the IEEE room or property
  4. Harassment of members, officers, or their guests
  5. Unanimous vote of elected IEEE officers for cause

Appeal

To appeal a revoked key code, submit a written plea explaining the situation(s) which led to the code being revoked, and any supporting documentation. Your appeal will be examined, discussed, and voted on by the elected IEEE officers, and, if necessary, the Branch Counselor, at their next meeting. A majority vote determines the outcome of the appeal process. In the case a decision can not be reached, the Branch Counselor will review the appeal.
